Privacy Policy
This policy explains what we collect, why, and what we will never do with it. It is written to be read rather than skimmed past — if any part of it is unclear, email us and we will explain it in plain words.

1. Who we are
This policy covers The Adventurers Guild LLC, trading as The Adventurers Guild, and the Guild Alerts text messaging programme. We are a trading card shop at 2595 Tamiami Trl, Suite C, Port Charlotte, FL 33952. Where this policy says we, us or the shop, that is who it means.
You can reach us at contact@theguildpos.com about anything in this policy, including asking us to delete what we hold about you.
2. What we collect
Things you type in
When you send us a message through the contact form we collect your name, your email address, an optional phone number, the topic you picked and whatever you wrote. When you sign up for Guild Alerts we collect your first name, and your email address or mobile number depending on which you gave us.
Guild Alerts can be joined four ways: on this website, by scanning a QR code that leads to the same page, on paper at the counter, or — once the programme is running — by texting a keyword to our number. Whichever route you take, the same information is collected, the same disclosure is shown, and the same consent record is kept. We also note which of those routes you used, because we have to be able to say how a given person came to agree.
When you sell cards to us in the shop we take the details we need to make and record an offer. That happens at the counter rather than on this website, but it is worth saying here: we keep purchase records because we are required to, and we keep them securely.
If you ring us
Calls to our published number are answered by Thorin, an automated assistant. It can answer questions about stock, opening hours, the buylist and how to find us, and it will hand you to a person or take a message when it cannot help.
Calls are transcribed, and Thorin tells you so at the start of the call — before anything is kept. Florida law requires everyone on a call to agree before it is recorded or transcribed, and that announcement is how we ask. Staying on the line after it is your agreement.
What we hold is the number you rang from, the time, and a transcript of what was said. We keep it so that we can act on what you asked for, and so that we can check Thorin answered you correctly — an assistant that quietly gets things wrong is worse than no assistant, and the transcript is how we catch that. We keep transcripts for as long as they are useful and then delete them. We do not sell them, we do not use them for advertising, and nobody outside the shop reads them.
If you would rather not be transcribed, hang up and email contact@theguildpos.com or just come in. You will get the same answer from a person, and we will not think anything of it. You can also ask us at any time to delete a transcript of a call you made — tell us roughly when you rang and we will find it.
Things your browser sends
Our web host records standard server logs — your IP address, which pages you asked for, when, and what browser you used. Every website receives this simply by being visited; it is how a server answers a request at all. We use it to keep the site up and to spot abuse, and we do not use it to build a profile of you.
Consent records
When you tick a box to join Guild Alerts we store a record of that consent: what you agreed to, the exact wording shown to you at the time, the date and time, the page you were on, and the IP address the submission came from. We are required to be able to prove that a person agreed before we message them, and this is how we do it. It also protects you — it is the record that shows what you actually signed up for.
3. Text messages and your mobile number
This section governs the mobile number you give us, and it takes precedence over anything more general elsewhere in this policy.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who provide support services — specifically the messaging platform that delivers the texts, and your own mobile carrier that carries them — is permitted solely so the message reaches you. All other categories in this policy exclude text messaging originator opt-in data and consent; that information is not shared with any third party for any other purpose.
We do not sell, rent, trade or lend mobile numbers. We do not hand them to advertisers, list brokers, data aggregators or other shops, and we will not do so if we are ever approached about it. A phone number given to a card shop is for the card shop.
Joining Guild Alerts is optional, it is free, and you can leave at any time by replying STOP to any message. The full programme terms are on the SMS Terms page.
4. How we use it
- To answer you. If you send a message, we reply to it.
- To send what you asked for. Order and pickup notices if you asked for those; shop news if you asked for that. Separately, because they are separate choices.
- To run the shop. Keeping records of trades and purchases, and keeping the website working.
- To prove consent. As described above.
- To meet our legal obligations where we have them.
We do not use your information to make automated decisions about you, and we do not profile you for advertising.
5. Who we share it with
A short list, because it is a short list.
- Our web host, which stores the site and delivers the mail our forms send.
- Our messaging provider, which delivers text messages, and your mobile carrier, which carries them. Neither may use your number for their own marketing.
- Our email provider, which carries the mail.
- The service that runs Thorin, our phone assistant, which processes call audio in order to answer you and produce the transcript.
- Law enforcement or a court, if we are properly required to.
That is the whole list. We do not sell personal information, we do not share it for cross-context behavioural advertising, and we have no advertising partners to share it with.
6. Cookies and analytics
This site sets one cookie, and only when you use a form: a PHP session cookie that stops the same browser submitting the contact form over and over in a few seconds. It holds no personal information and expires when you close the browser.
We do not run third-party analytics, advertising pixels, or social media tracking scripts. If that changes, this section changes first and we will say so at the top of the page.
The home page can show our latest Instagram posts. Those images are copied to our own server rather than loaded from Instagram, which means viewing them does not report your visit back to Instagram.
7. How long we keep it
- Contact form messages: as long as the conversation is useful, then they go.
- Guild Alerts sign-ups: while you are subscribed.
- Consent and opt-out records: at least four years after you leave. We keep these deliberately after you unsubscribe — the record that you asked to stop is the thing that proves we honoured it.
- Call transcripts: as long as they are useful for the thing you rang about, then deleted. Ask and we will delete one sooner.
- Server logs: a short rolling window set by our host.
- Shop purchase records: as long as the law requires.
8. Your choices
Stop the texts. Reply STOP to any message. It takes effect immediately and you will get one final message confirming it.
Stop the emails. Use the unsubscribe link in any email, or just email us and ask.
See what we hold, correct it, or have it deleted. Email contact@theguildpos.com and ask. We will confirm who you are first — the point of that step is to stop somebody else asking for your information — and then we will do it. There is no charge.
Asking us to delete your details will not affect anything you have already bought or sold, and we may have to keep records of a completed transaction even after removing you from everything else.
9. Children
Plenty of our customers are children, and they are welcome in the shop. This website is a different matter: it is not directed at children under 13, and we do not knowingly collect personal information from them through it.
Guild Alerts is for people aged 18 or over, because a text message programme involves an agreement and a phone bill. If you are under 18 and you want to know when something lands, ask a parent or guardian to sign up, or just ask us in the shop.
If you believe a child has given us information through this site, email us and we will remove it.
10. Security
The site is served over HTTPS. Form submissions are rate-limited and screened for the usual injection tricks. Consent records are stored outside the public area of the web server, so they are not reachable from the internet.
No one can honestly promise perfect security, and we are not going to. What we can say is that we collect little, we keep it briefly, and we do not pass it on.
11. Florida residents
We are a Florida business and most of the people reading this are Florida residents. Under the Florida Digital Bill of Rights you may have the right to know what personal information we hold about you, to correct it, to delete it, to get a copy, and to opt out of the sale of personal information or its use for targeted advertising.
The last two are easy for us to answer: we do not sell personal information and we do not use it for targeted advertising. The rest you can exercise by emailing us. If we ever refuse a request we will tell you why, and you may appeal by replying to that refusal.
If you live somewhere with stronger rights than Florida gives you, ask anyway. We would rather apply the better standard than argue about which one you qualify for.
12. Changes and contact
If we change this policy we will update the date at the top. If a change actually matters — new categories of data, a new recipient, anything touching your mobile number — we will say so plainly rather than quietly reissuing the page.
